Fraser Property Management offers a full selection of strata management services that can be tailored to meet individual Strata Corporation requirements. Our services can be categorized into three management areas. Administration, Bookkeeping and Operational services. This enables our clients to engage our administrative and/or bookkeeping only services where full property management is not required.

The following outlines the full scope of services we can provide to your Strata Corporation and we are confident that we can meet all your management needs. Within the following fee section we outline the fee structure charges for full management services to your complex. We also understand that members of your Strata Council are involved in overseeing some aspects of the operations of your complex – we embrace this active participation from your Strata Council and will work closely with all members.

Administrative

1) Meetings: Attend all Strata Council, Annual and Special General Meetings as set out in the Strata Agreement and record Minutes of the meetings as directed by the Strata Council. Prepare and mail Minutes to a Strata member as required.

2) Notice of Meetings: Prepare and mail notices to Strata members on direction from the Strata Council

3) Insurance: Arrange and maintain proper insurance coverage on the property as required by the Strata Property Act. Arrange for property appraisal and review of building insurance.

4) Bylaws: Ensure that the bylaws and rules are adhered to and enforced. If authorized by the Strata Council and as set out in the Strata Property Act commence appropriate action with respect to any contraventions.

5) Purchases and Contracts: Negotiate contracts in the name of the Strata Corporation, for the operating of the Strata Corporations' affairs, at the expense of the Strata Corporation and always subject to the approval of the Strata Council.

6) Maintain Registry & Documents: Act as the Strata Corporation's registered office and maintain a registry of all owners/tenants, copies of Minutes, contracts, insurance policies, financial records, etc…Make same available for inspection on request of the Strata Corporation.

7) Correspondence: Receive and respond to all incoming correspondence and prepare and circulate any such outgoing correspondence as the Strata Council directs.

8) Consultation: Advise and provide assistance to the Strata Council as to its' responsibilities and duties pursuant to the Strata Property Act and amendments to the Act that occur.

9) Levy Fines: Levy fines against delinquent owners as per the Strata Council's instructions and the Strata Corporations bylaws. Provide follow-up correspondence and initiate action where required and directed by the Strata Council.

Bookkeeping Services

1) Maintenance Fees: Collect, record and deposit all monthly maintenance fees, fines and other income of the Strata Corporation.

2) Accounts Payable: Receive, review, record and disburse all accounts payable by the Strata Corporation. Ensure that all accounts payable for the Strata Corporation are paid on time, provided sufficient funds are available

3) Banking: Administer necessary bank accounts.

4) Sales Documentation: Provide forms and documentation as required by the Strata Property Act for the sale of any strata lot.

5) Operating Statements: Prepare and supply monthly operating statements to the Strata Council and owners (if requested). These include an income and expense statement, a balance sheet cheques issued for the month, and a list of owners who are in arrears.

6) Year End Financial Statements: Prepare and supply year-end financial statements to Strata Council and owners (if requested)

7) Budget: Prepare, in cooperation with the Strata Council, an annual operating budget with details reflecting the anticipated disbursements required for the following year.

Operational Services

1) Property Inspections: An initial inspection of the common property; report to Strata Council as to building and grounds concerns or deficiencies. Ensure that there is sufficient follow-up.

2) Maintenance and Repairs: Assist Strata Council in setting maintenance standards and schedules. Obtain quotes for repairs and maintenance of the common property. Coordinate all building & grounds maintenance and repair.

3) Contractors: Coordinate contractors working on the property and grounds. Where and whenever possible tradesmen from the local surrounding area.

4) Relation with Owners: maintain businesslike relations with all owners. Receive and respond to all correspondence with owners.

5) Emergency Contact: Maintain a 24-hour answering service in case of emergency.

6) Purchases: Arranging for the purchase of equipment and supplies.

7) Bylaws: Annually review the bylaws of the Strata Corporation and recommend any changes to the Strata Council. Ensure that bylaws are adhered to by the strata owners.

8) Manage: Generally manage, maintain and administer the Strata Corporation's property, always in accordance with the directions of the Strata Council and the strata owners. Conduct research to facilitate the Strata Council's decision-making process.

Additional Services:

If the situation arises where additional expertise is required, we will assist and/or recommend the appropriate professional to assist your Strata Corporation.

Our goal at all times is to manage your property at a reasonable cost, providing personalized service of the highest quality in a way that is customized to meet the needs of the Strata Council and the strata owners. Rental Property Management

•  Collect and deposit all Rental Cheques each month

•  Prepare Cheques for repair bills and then send them out

•  Complete monthly income and expense sheet for each property which will include a copy of each bill paid

•  Deal with day to day complaints and/or repairs. All minor repairs will be handled automatically but anything exceeding $500 (or any amount requested by the Owner) will be brought to Owners attention and permission will be sought to proceed, unless it is an emergency situation and we4 are unable to contact the Owner

•  Inspect the property at least once every three months and report directly to Owners on all matters

Rental/Commercial properties are a significant investment that comes with many responsibilities, including bylaws, Government and legal requirements. FAQ

Q When is my rent due?

A Your rent is due in advance of the first of each month. If it is not paid by the 1st of the month, you will be served a 10-day notice of eviction. You will then have 5-days to respond.

Q How do I pay my rent?

A Your rent must be paid in the form of a check,cash or money order. Payment must be made to Fraser Property Management RES LTD- please be sure to mark your address on your form of payment to ensure proper credit. Cash payments can be made at our office during business hours and a receipt will be issued

Q How do I report a problem?

A If you are experiencing a maintenance problem, please call the office at (604) 466-7021. Please leave your name, address, telephone number and a detailed description of your problem. If your problem has not been resolved within 2 business days, please call to us again to request an update. You may also report your non-emergency maintenance issue online at fraserrentals@hotmail.com.

•If you are experiencing an emergency problem, please contact the emergency line 604-244-2862. If the emergency requires police or fire department resources, please call 911 immediately and once you have reached safety, call our emergency line.

•By reporting a maintenance issue you grant us permission to enter your apartment at any time within 2 business days of your report from 8am to 5pm Monday through Friday to address the issue, unless you specify otherwise.

Q How do we request a strata management proposal?

Q How do we cancel our management contract with a previous company?

A The first step is to read the contact in place and note if you are required to hold a special general meeting to cancel. We can help you make the correct steps to cancel a contract and should you decide to use our company we will strive to make the changeover as smooth as possible.

Q How do we change from self managed to a management company?

A Council can interview various companies, then call a Special or Annual General Meeting and ask owners to vote on hiring a management company. Once budgeting and approval have been approved by the Owners, the strata council can then choose the management company.

Q Are there any extra costs involved with your management contract?

A Our proposal and contract is detailed and customized to fit the individual complex. Our contract fee includes photo copies of minutes and letters. Additional costs are postage (note: some of our strata have email delivery of minutes to save costs).

Q What are your policies on communication to owners and council?

A We strive to reply to owners and councils concerns within one business day. Owners and council member enquiries are acknowledged as received and if strata council input required are dealt with at the next council meeting. If the concern cannot wait until the next meeting the strata council will be contacted for a response.
